What is the setup process for the Clearance Management System?

The Clearance Management System is included in all School Signals plans. Contact Support to activate the feature. Once activated, go to School Settings > Clearance Settings.

On the Clearances Settings page, School Admins configure the approval levels used for parent and volunteer clearances. You can use a single Approved status or create multiple approval levels based on what an approved person is permitted to do.

How do I set the Approval level options?

You can use one, two, or three approval levels. Approval levels should describe what the person is cleared to do. Your school determines the documents, background checks, training, or other requirements needed to qualify for each level.

Using a single Approved status

If you do not need different clearance levels, use the single Approved status. Turn on Approved when everyone who completes your clearance requirements receives the same approval status.

Using multiple Approval levels

Turn on Approved - Level 1 and Approved - Level 2 to distinguish between different levels of clearance. For each level, enter a Definition that clearly explains what the person is approved to do.

For example:

Approved - Level 1
Supervised: May volunteer when a school staff member is present.

Approved - Level 2
Chaperone: May supervise students during approved school activities and field trips.

You determine the requirements for each approval level. A higher level can require additional screening, documentation, training, or other requirements established by your school.

Adding a custom approval level

Turn on Custom to create an additional approval level.

Enter an Approval Title and Definition. School Signals automatically adds Approved — before the title.

For example:

Approval Title: Level 3

Definition: Driver: May transport students for approved school activities after completing the school's required driver, insurance, and clearance requirements.

This will appear as Approved — Level 3.

Example of configuration where a school uses three levels for the Approved status.
