How do I resolve a parent registration?

New Parents May Register If They Have Not Received The Invite

In case the parent has not received their invitation email, they may register with School Signals at https://schoolsignals.com/register

When a parent registers, the system first checks if School Signals already has their email on file. If we do not, the parent proceeds with the prompted registration. The system collects relevant information so that the school admin can verify them. It is important that a School Admin reviews the request. Parents do not get an automated access upon registering.


Resolving a Registration Request

After a parent has registered, the School Admin should review the request and verify the account.

Here are the steps for the School Admin:

1. Go to School Administration > Profiles & Accounts > Account Requests

By default, the Account Requests page displays open (unresolved) requests with the newest ones at the top.

2. Click the blue RESOLVE button.
You are taken to the Account Request detail page.

3. Review matching details.
The system will show relevant details that help you resolve the registration request. The goal is for you to be able to easily verify the account and look up if a similar account (for instance with a different email) already exists for the parent.

On the page, if available:

  • The system displays student record that matches the records the parent is providing.

  • The system displays another guardian record that matches with the student record the parent is providing.

  • The system displays user account info of the same parent who is already in the system with another email.

4. Resolve the request.

It's time to resolve the request. You have three options to proceed with:

4a. ACCOUNT REGISTRATION MATCHES STUDENT RECORD

The student record matches the records the parent is providing, and you are ready to create an account for the parent.

  • Toggle on "Create a parent user account and link to the student"

  • Click the Approve button.

  • Click Confirm.

4b. ACCOUNT ALREADY EXISTS

You may notice that the parent is already in the system but with a different email. If the account for the parent already exists, take the following actions.

If the parent likely wants to use the email they are registering with:

  • Toggle to "change the existing user account email" to the new email provided by the parent.

  • Toggle to Send Password reset email.

  • Close Request

If the parent wants to use the email you already have on file:

  • Ignore the new provided email and instead Send Password reset email to the existing account.

  • Close Request

4c. ACCOUNT CANNOT BE VERIFIED (YET)

If the registration is made by someone who is currently not a parent in the school, or you are unsure who the user is, you can choose how to handle the case. Here are the steps:

Click the Do Not Approve button.

A radio-button interface opens. Select one of the prompted options depending if you want look into the matter more, or simply close the request.

  • If you need more information → Set status to Pending.

  • If you want to take more time to resolve → Set status to On Hold.

  • If you regard the registration is SPAM or a mistake and don't want to communicate with the user. → Set status to Ignored.

  • If you decline the request and want to provide a reason for the user. → Set status to Declined. Closes the request. When you decline a request, the system prompts you to provide a reason or note to the registrant. This information is included in the notification email that is sent to the registrant.
