Go to the Clubs & Programs page, and click the blue Add Program button.
Audience
Select the Audience. Is this program intended for all grade levels or specific grade levels? Set it here. For instance, a drama club is open for all 1st to 12th-grade students. Select these grades from the grade selector.
Title & Description
Add Club/Program Title and Description.
Sign-up rule
Next, select the Sign-up rule. Do you allow parents immediately to sign up their child or do you want them to apply for the club, in which case the application goes through your / Club Admin's approval. You can add three "screening" questions.
Example cases when to set the joining of program for approval and adding three screening questions:
The program has a joining criteria beyond a grade-level such as advanced skills.
The program requires parents to respond 'Yes' to commit to volunteer.
The program payment needs to be made before application is approved. You need to check first that the payment has been made.
Number of students (opt)
Set the minimum and maximum number of students that are allowed. If the number is low, as an example, a parent may consider making their decision fast.
Sign-up dates (opt)
Control when the sign-up opens and closes. After the sign-up closes parents can no longer sign up. These dates are displayed on the page.
Cover Photo
Upload cover photo. If you don't have a photo, that's okay. The system will select the best possible visual based on title of your program. We have created these images carefully with a graphic artist. Having said that, you can always come back and update the image if you don't like it.
Click Save & Continue
Click the blue 'Save & Continue' button. Your submission is still in draft mode. You are now taken to the step 2 of the creation, and you will be adding the schedule for the program.
Add Schedule
Enter a title (for example, “Fall 2025 Schedule”).
Select the date range, check weekday(s) and practice time.
Example:
The admin sets practice on Tuesdays from 4:00–5:45 PM, starting September 9 and running through December 16.
If all practices share the same time, include them in this schedule.
If any practice occurs at a different time (for example, Wednesday’s session), add an additional schedule after this step.
You can also cancel or delete individual sessions in the calendar.
Click Save
Click the blue 'Save' button. Your submission is still in draft mode. You can now review the listing and Publish it.
Publish
Click the green Publish button when you are ready to take the program live for parents.
You can announce the Program in the School Feed; the toggle to announce the program is switched on by default.
If you are not ready to publish, the program stays in Draft mode. You can keep editing the listing.
